The Central Board of Secondary Education (CBSE) has issued fresh instructions to affiliated schools for maintaining and correcting students’ demographic
details in Board records. The Board has asked schools to ensure that information such as a student’s name, parents’ names and date of birth is accurate across school records and examination-related documents. The instructions from CBSE are aimed at reducing errors in students’ final certificates and streamlining requests for corrections in demographic details. CBSE has directed schools to verify students’ information at different stages, beginning with admission and registration. Schools are required to maintain accurate details in records such as the admission form, scholar register and admission and withdrawal register. Details in the Transfer Certificate must also match the school records. Schools asked to verify details before exams During Class 9 registration, schools must verify the demographic details and obtain confirmation from parents. Students are subsequently provided the Registration Card to check the information submitted to CBSE. A correction window is also provided for rectifying errors. The Board has prescribed similar checks during the List of Candidates (LOC) submission for Class 10 and Class 12. Schools must verify the details and obtain confirmation from parents before submitting the LOC. Students and parents get another opportunity to identify errors during the correction window. CBSE has also stated that demographic details must be checked again when admit cards are issued. Before examinations, students, parents and the school principal are required to confirm the accuracy of the details mentioned on the admit card. The Board said it continues to receive requests for demographic corrections even after results are declared. It has flagged incomplete applications, missing supporting documents, unclear copies of records and failure by schools to provide additional documents sought during processing. CBSE directs schools to submit complete records CBSE has asked schools to ensure that demographic details in their records are completely accurate and to strictly follow the instructions issued during registration and LOC submission. Schools have also been directed to obtain confirmation from parents and submit complete certified records when forwarding correction requests to CBSE. Where applicable, records from a student's previous school must also be provided. It has further advised students to route demographic correction requests through their schools instead of approaching CBSE directly, as the required supporting records are generally maintained by schools. The latest instructions are intended to ensure that errors are identified at the school level and corrected through the prescribed process before final Board documents are issued.
