Microsoft has announced a new return-to-office policy, asking employees to spend three days a week in the office. In an internal memo, Amy Coleman, Executive Vice President and Chief People Officer, explained
that the move will happen gradually and will be fully rolled out by February 2026. The company is framing this as a way to enhance collaboration, especially in the growing era of AI.
The memo acknowledges that the new policy may feel like a significant change for some employees. Coleman emphasised that Microsoft is giving staff ample time to adjust and will provide the necessary support to make the transition smooth. She reassured employees that the update is not about reducing headcount but about improving teamwork and delivering stronger results.
Why Three Days in Office
Coleman explained that while Microsoft is not going back to pre-pandemic work routines, in-person collaboration is crucial for generating ideas and thriving together.
“When people work together in person more often, they thrive, they are more energised, empowered, and they deliver stronger results,” she wrote.
The flexible work expectations will now require employees to be in the office three days a week, combining remote and on-site work for a balanced approach.
How the Mandate Will Roll Out
The return-to-office plan will be executed in three phases. First, it will start in the Puget Sound region at the end of February 2026. Then it will expand to other US offices, and finally, it will be implemented in Microsoft’s international locations.
Employees living within 50 miles of an office will be expected to comply in the first phase. The memo does not specify consequences for employees who fail to follow the mandate.
Supporting Employees Through the Change
Coleman emphasised that the company understands the transition may be challenging for some. “For some of you, this is not a change. For others, this may be a bigger adjustment, which is exactly why we’re providing time to plan thoughtfully,” she noted.
The memo also highlighted that Microsoft is improving workplace safety and security measures to ensure a supportive and productive environment for everyone.
The company wants to balance flexibility with collaboration, making sure employees can contribute effectively while maintaining personal work-life balance. The phased approach is designed to help staff adapt gradually to the new expectation of spending three days per week in the office.
