First, Decode the Job Description
Before you write a single bullet point or open an AI tool, your first task is to become an expert on the job you want. Most companies now use Applicant Tracking Systems (ATS) to scan and rank resumes before they ever reach a person. These systems look
for keywords and phrases that match the job description. Print out the description or copy it into a document. Then, highlight the key skills, qualifications, and responsibilities the employer repeatedly mentions. Look for specific nouns and verbs like “stakeholder management,” “data analysis,” “project lifecycle,” or “spearheaded.” This list of keywords is your blueprint for customization. A targeted resume that speaks directly to an employer’s needs is far more effective than a generic one.
Gather Your Raw Achievements
Now, think about your own experience. For each relevant role, jot down your accomplishments without worrying about perfect phrasing. Don't just list what you were “responsible for.” Instead, think about what you actually did and what the result was. Did you save time or money? Did you increase efficiency? Did you launch a new project? Did you improve a process? Collect these raw achievements and, wherever possible, find the numbers to back them up. Metrics transform a vague duty into a concrete accomplishment. For example, instead of “managed social media,” write “grew Instagram followers by 20% in six months.” This collection of facts and figures is the raw material you will feed the AI.
Mastering the AI Prompt
The quality of your AI-generated bullet points depends entirely on the quality of your prompts. Generic requests lead to generic results. Instead of asking an AI tool to simply “rewrite my resume,” you need to be specific and provide context. A powerful prompt structure assigns a role to the AI, provides your raw achievements, and gives clear instructions based on the keywords you identified earlier. For example, you might use a prompt like this: "Act as a professional resume writer. Rewrite the following bullet point to be more impactful for a Project Manager role. Use the STAR method (Situation, Task, Action, Result) and incorporate the keywords 'agile methodologies' and 'cross-functional teams.' My original bullet is: ‘Led a team to launch a new software feature.’" By giving the AI your goal, your raw data, and the employer's desired language, you guide it to create a highly targeted and relevant output.
Refine, Humanize, and Quantify
AI is an excellent assistant, but it's not the final author. The first draft it produces is just a starting point. Your next step is to refine and humanize the output. Read through the AI-generated suggestions. Do they sound like you? Are they 100% accurate? AI can sometimes exaggerate or fabricate details, so always fact-check its work. Focus on enhancing clarity and impact. Often, AI can provide a stronger action verb or a better structure, but you need to add the specific, credible details. If the AI suggests, “Streamlined workflow processes, resulting in significant efficiency gains,” you should edit it to be more specific, like, “Streamlined invoicing workflow by implementing a new software, reducing processing time by 40% over three months.” This blend of AI efficiency and human authenticity creates the most compelling result.
The Final Check: Beat the Bots, Impress the Human
Your final bullet points must succeed on two fronts: they need to be machine-readable for the ATS and compelling for the human recruiter. For the ATS, ensure your resume uses standard section headers like “Work Experience” and avoids complex formatting like tables, columns, or graphics that can confuse the software. Your targeted keywords should appear naturally within your bullet points. For the human reader, ensure each bullet point starts with a strong action verb and is concise—ideally under 20 words. The goal is to make your achievements scannable and impactful, telling a clear story of the value you delivered in previous roles. When a recruiter spends just a few seconds on your resume, your bullet points need to make it immediately obvious that you are the right fit for the job.
