A Perfect Storm of High Demand
European embassies are grappling with a situation that has been brewing for years. The post-pandemic travel boom has seen a massive surge in Indians looking to travel abroad, with Europe being a top destination. In 2025 alone, Indian travellers submitted
over 1.15 million applications for Schengen visas, a record-breaking figure that has put immense pressure on consular services. This explosion in demand is meeting a system that is still catching up. Many embassies and visa application centres are operating with limited staff, a lingering effect from the pandemic. The result is a simple equation of supply and demand: far more applicants than available appointment slots. This backlog means that even if you are planning a trip for September or October, the time to act is now.
The 15-Day Myth and the New Reality
Officially, the Schengen Visa Code states that applications should be processed within 15 calendar days. However, for travellers from India, this timeline has become largely theoretical. During peak travel seasons—a window which now firmly includes the popular fall months of September and October—processing times for high-demand countries like France, Italy, and Spain can easily stretch to between four and eight weeks. What many applicants also fail to realise is when the clock actually starts ticking. The 15-day period begins only when the consulate or embassy officially receives your application, not on the day you submit it at a VFS Global centre. This initial transit and administrative handling can add several days to the process before a visa officer even looks at your file. In complex cases, authorities are legally permitted to take up to 60 days to make a decision.
Your Booking Strategy Starts Now
Securing a visa appointment has become the first and most critical step in planning a European holiday. The single most important rule is to apply early. The Schengen framework allows you to apply up to six months before your intended date of travel, and using this full window is now the wisest strategy. Treat finding a slot like a mission. Check the VFS Global or other official visa centre portals daily, as new appointments are often released in the early morning hours or when other applicants cancel. Be flexible if your itinerary allows it; countries like the Netherlands, Greece, or Lithuania often have shorter wait times than France or Germany. Some countries, like Germany, even allow you to apply at any VFS centre across India, regardless of your city of residence, which can open up more options if your local centre is fully booked.
Preparing for a Successful Application
Getting an appointment is only half the battle; ensuring your application is approved is the other. A rejection not only ruins your travel plans but can also make future applications more difficult. The most common reasons for refusal among Indian applicants are avoidable. First, ensure your documentation is flawless and consistent. This includes a detailed day-by-day itinerary, confirmed flight and hotel bookings, and a clear cover letter explaining the purpose of your trip. Second, provide robust financial proof. Visa officers look for stable finances over the last six months; sudden large deposits into your account just before applying are a major red flag. Finally, do not overlook travel insurance. A policy covering a minimum of €30,000 in medical expenses that is valid across all Schengen countries for your entire trip is a non-negotiable requirement.
