Now, consider a stronger prompt: “Act as a project manager preparing for a weekly stakeholder meeting. Summarise the attached project report into five key bullet points. For each point, highlight the progress made, any risks identified, and the next steps planned. The tone should be professional and concise.” This detailed instruction provides the role (project manager), the task (summarise), the context (weekly stakeholder meeting), and the format (five bullet points covering specific details). This level of clarity guides the AI to produce a useful, relevant, and immediately usable output, saving you valuable time.
Simple Frameworks for Consistency
You don't need to be a programmer to engineer good prompts. Simple frameworks can help you structure your requests consistently. One popular approach is RTF: Role, Task, Format. This ensures you always cover the most critical information. Another method, sometimes called CRAFT, adds Context and Tone to the mix. You can create your own simple checklists for the tasks you delegate to AI most often. For instance, if you frequently use AI to brainstorm, your checklist might always include defining the target audience and the core problem you're trying to solve. The goal is to make providing clear instructions a repeatable habit, turning frustrating AI interactions into predictable, productive ones.

Becoming a skilled prompter doesn't happen overnight, but it’s a skill that directly translates into reclaimed hours. Start with high-frequency, low-value tasks that clog up your day, such as drafting routine emails or summarising meeting notes. Pay attention to which prompts give you the best results and save them as templates.
