The Ambiguity of 'Pet-Friendly'
The term 'pet-friendly' is not a universal standard. For one hotel, it might mean a red-carpet welcome for your large dog. For another, it could mean only cats under 5 kg are allowed, and only in one specific room that is already booked. Policies can
be surprisingly specific, with restrictions on breed, size, weight, and the number of pets allowed per room. Relying on a quick phone call or a website icon is a gamble. Staff may be misinformed, policies might have changed, and online booking platforms often have outdated information. Without written proof, what you were told during booking holds little weight if there is a dispute upon arrival, potentially leaving you stranded.
Before You Book: The Investigation
Your preparation starts before you even enter your credit card details. Once you have a shortlist of hotels, it’s time to become a policy expert. Scour their official website for a dedicated pet policy page. Many hotels that genuinely welcome pets will have one. Note down the specifics: Are there pet fees, and are they per night or a one-time charge? Is there a refundable damage deposit? Are pets allowed on furniture? Are there designated areas for them to walk and relieve themselves? Can they be left unattended in the room, and if so, must they be crated? Having these answers helps you compare options and demonstrates you're a responsible owner.
The Crucial Step: Getting It In Writing
This is the most critical part of the process. After you've done your research, send a clear and concise email directly to the hotel's reservation desk. This creates a documented record of your communication. In your email, state your intended booking dates and explicitly mention your pet. Provide their breed, size, and weight. Then, ask for confirmation of the key details you researched. For example: "Could you please confirm that my 12kg Beagle is permitted for a stay from August 5th to August 8th? Additionally, could you confirm the pet fee is a one-time charge of ₹1,500, as stated on your website?" This proactive step forces clarity and leaves no room for misunderstanding.
What Your Confirmation Must Include
A vague reply of "Yes, pets are welcome" is not enough. A solid written confirmation should be treated like a contract. It should explicitly state: your name and booking dates; confirmation of acceptance for your specific pet (name, breed, and size); a breakdown of all pet-related fees and deposits; key rules, such as leash policies or restricted areas; and the name and title of the employee providing the confirmation. Save this email as a PDF or take a screenshot. Keep a digital and even a printed copy with your other travel documents. This email is your proof and your peace of mind at the check-in counter.
Beyond Hotels: Airlines and Trains
This rule is just as vital for transport. Airlines in India like Air India have a limited number of pet slots available in the cabin per flight, which must be booked in advance, often at least 48 hours prior. Getting an email confirmation of your pet's spot is non-negotiable. For train travel, the rules are even stricter. Pets are generally only allowed in First Class AC if you book the entire two-berth coupe or four-berth cabin, or in the luggage van. This requires coordination with railway parcel offices and specific documentation, so having written communication outlining the process from railway officials can prevent being turned away at the station.
Your Proof is Your Peace of Mind
When you arrive at the check-in desk after a long journey, the last thing you want is a problem. If the front desk staff are unaware of your pet's booking or quote a different fee, you can calmly present your confirmation email. This resolves potential conflicts instantly and professionally. It shows you did your due diligence and allows the hotel staff to quickly sort out any internal miscommunication. Your holiday starts the moment you book, but it only becomes stress-free when you know every member of your family, furry or not, has a confirmed place to stay.
