An Applicant Tracking System (ATS) is software used by the vast majority of large companies to manage high volumes of job applications. Instead of a person reading every CV, the ATS acts as an initial filter. It scans and sorts applications by searching
for specific keywords, skills, and qualifications that match the job description. If a CV lacks these key terms or is formatted in a way the system can't read, it's often rejected before a recruiter ever sees it, regardless of how qualified the candidate is. Companies use these systems to save time, allowing recruiters to focus on a smaller pool of applicants the software has identified as a strong match. Your first challenge, therefore, isn't impressing a person—it's communicating clearly with an algorithm.
How to Decode a Job Description
The key to passing the ATS screen is tailoring your CV for each specific role. The best source for keywords is the job description itself. Read through the posting carefully and identify the essential requirements. Look for hard skills (like 'Python', 'Google Analytics', or 'ACCA'), software proficiencies ('Salesforce', 'Adobe Photoshop'), and industry-specific terminology ('supply chain', 'SEO'). Pay close attention to phrases that are repeated, as these are likely high-priority terms for the ATS. Create a list of these keywords, making sure to use the exact phrasing found in the description. If it lists 'customer relationship management', use that full term rather than just 'CRM'.
Syncing Keywords Naturally
Once you have your list of keywords, you need to integrate them into your CV. The goal is to place them where they make sense, not just to stuff them in unnaturally, which can be penalized by some systems and will look odd to a human reader. The most effective places to include keywords are your 'Skills' or 'Summary' section and within the bullet points of your 'Work Experience'. For example, instead of just listing 'project management', describe an achievement: "Led project management for a new software launch, resulting in a 15% improvement in team efficiency." This provides context for the skill, which is valuable for both the ATS and the hiring manager who will eventually read it.
Formatting for Bot and Human Eyes
Even a perfectly keyword-optimised CV can fail if the ATS can't parse it correctly. Complex formatting is a common reason for rejection. Avoid using tables, columns, graphics, or text boxes, as these can scramble the information when the system tries to read it. Do not place critical information like your contact details in the header or footer, as these sections are often skipped. Use standard, easy-to-read section headings like "Work Experience" and "Education" instead of creative titles like "My Career Journey". Stick to simple fonts like Arial or Calibri and use a clean, single-column layout. Unless the application specifies otherwise, submitting your CV as a .docx file is often a safer bet than a PDF, as some older ATS systems can struggle with PDF files.
The Final Hurdle: Human Review
Getting past the ATS is only the first step. Your CV must also impress the human recruiter who reads it next. Recruiters typically spend only a few seconds on their initial review, so clarity and impact are essential. This is where your keyword syncing pays off in a new way. A CV that clearly outlines your relevant skills and backs them up with specific achievements is easy to scan and understand. After optimising for the bot, read your CV out loud to ensure it flows naturally and tells a compelling story of your professional accomplishments. Remember, the system gets you to the shortlist; a well-written, achievement-focused CV gets you the interview.
