Step 1: Scrub All Personal Information
This is the most critical step. Many popular AI tools may use your uploaded data for model training, which means your information could be stored or, in a worst-case scenario, exposed in a breach. Before uploading, perform a thorough search for any Personally
Identifiable Information (PII). This includes your name, student ID, phone number, email address, and any specific names of professors, classmates, or even the university itself if you want to be extra cautious. Replace these identifiers with generic placeholders like "[Student Name]" or "Professor X." The goal is to anonymise the document so it contains only the academic content, severing any link back to you or your peers.
Step 2: Clarify Ambiguity and Add Context
Humans can decipher messy notes, but AI models are very literal. They struggle with vague pronouns, inside jokes, or abbreviations that you and your classmates understand. Go through your notes and fix these issues. Replace a lazy "he said" with "the professor explained that..." Define any non-standard abbreviations the first time you use them. If your notes on a historical event are just a list of dates and names, add a sentence at the top explaining the topic, like, "These are notes on the key causes of the French Revolution." Providing this context helps the AI understand the subject matter, leading to much more relevant summaries and questions.
Step 3: Standardise Your Formatting
AI models process text based on structure. Clear, consistent formatting can dramatically improve the quality of the output. If you have notes from multiple sources—a lecture, a textbook, and a video—try to unify their structure. Use clear headings for major topics and bullet points for lists or supporting details. If your notes are handwritten, it's best to type them up. While some AIs can read images, selectable text is always more reliable. This structural cleanup makes it easier for the AI to identify hierarchies and relationships in the information, which is essential for creating well-organised summaries or accurate flashcards.
Step 4: Fact-Check Your Own Work
The principle of "garbage in, garbage out" is especially true for AI. An AI tool will not question the factual accuracy of your notes; it will treat everything you upload as the absolute truth. If your notes contain a wrong date, a misspelled formula, or a misunderstood concept, the AI will confidently summarise, explain, and quiz you on that incorrect information. Take five minutes to scan for obvious errors. This step is less about grammar and more about content integrity. Correcting your own mistakes ensures you're not using a sophisticated tool to reinforce your own misunderstandings.
Step 5: Define Your Objective in the Prompt
Auditing your notes is only half the battle. The other half is telling the AI exactly what to do with them. Don't just upload a file and ask it to "summarise." Be specific. A good prompt transforms a simple summary into a powerful study tool. For example, you could ask it to: "Create 10 multiple-choice questions based on these notes," "Explain the core concept of [Topic] in three simple sentences," or "Turn the key dates and events in these notes into a timeline." For different subjects, you might need different types of questions, so tailoring your prompt is key.
Step 6: Work with a Separate, AI-Ready Copy
Finally, never work directly on your original notes. Always create a duplicate file specifically for the AI. This serves two purposes. First, it preserves your original, unfiltered notes, complete with the personal shorthand and context that might be useful for your own review. Second, it creates a clean, auditable trail. You have the messy original and the sterilised, AI-ready version. This is a simple but effective data management habit. Some advanced tools even allow you to replace sensitive data with pseudonyms and then reverse the process on the AI's output, but for most users, a simple duplicate file is the safest and easiest workflow.
