Stay Calm and Gather Information
The electronic display board switches from 'Delayed' to 'Cancelled'. Your heart sinks. Before you do anything else, take a deep breath. Panicking or getting angry at the gate agent will not get you on a plane faster. Your first move should be to get in line
at the customer service desk while simultaneously checking the airline’s app and website. Often, you can rebook yourself on a new flight directly through the app faster than waiting in a long queue. Listen for announcements and find out the reason for the cancellation; this will be crucial later when determining your right to compensation. While you wait, use your phone to research the next available flights on both your airline and its competitors.
Know Your Rights: What the Airline Owes You
In India, passenger rights are governed by the Directorate General of Civil Aviation (DGCA). If your flight is cancelled, the airline is obligated to offer you a choice: a full refund or an alternative flight. If the cancellation is announced less than 24 hours before departure and the replacement flight is more than 24 hours later, you may be entitled to significant compensation. Crucially, for a long delay, the airline must provide meals, refreshments, and hotel accommodation. Do not automatically accept the first offer, especially if it's a voucher. You are often entitled to a cash refund if you choose not to travel. International flights originating from or flying to India are also covered, and conventions like the Montreal Convention can provide additional protections.
The Art of Courteous Negotiation
When you finally speak to an airline representative, be polite but firm. Have your booking reference number ready. State the facts clearly: your flight was cancelled, and you need assistance. Ask about three key things: rebooking, accommodation, and meal vouchers. If the airline's proposed rebooking is several days away, ask if they can endorse your ticket to another carrier that has an earlier flight. They are not always required to do this, but it is always worth asking, especially if the cancellation was due to a reason within the airline’s control (like technical issues or crew shortages) rather than weather. If they offer a hotel, confirm that transport to and from the hotel is also included.
Document Absolutely Everything
From the moment your flight is cancelled, start creating a paper trail. Take photos of the cancellation board. Keep your original boarding pass and any new ones you are issued. Save all receipts for expenses you incur as a result of the delay, such as food, drinks, toiletries, and any necessary transport. If you speak with an airline employee, jot down their name, the time of the conversation, and what was promised. This documentation will be invaluable if you need to file a complaint or an insurance claim later. If the airline provides you with vouchers, take a picture of them. This evidence strengthens your case and makes it harder for the airline to dispute your claim.
Leverage Your Travel Insurance
This is the exact situation travel insurance is made for. Check your policy immediately. Most comprehensive travel insurance plans include coverage for trip delays and cancellations. This can reimburse you for non-refundable expenses and the costs incurred during the delay that the airline won't cover. Many policies have a 'trip delay' benefit that kicks in after a certain number of hours and provides a fixed amount for meals and lodging. Some policies might even cover the cost of a new flight on a different airline if your original carrier cannot get you to your destination within a reasonable timeframe. Contact your insurance provider's 24/7 assistance line to understand your coverage and how to file a claim.
