Indian passport holders must secure a visa before travelling to Japan; there is no visa-on-arrival facility. You have two main pathways. The first is the traditional sticker visa, applied for via a VFS Global centre, which involves submitting your physical
passport. The second, available for single-entry tourism since April 2024, is the e-visa. This also requires submission through a VFS centre, but the result is a digital 'visa issuance notice' you display on your phone at the airport in Japan. For multiple-entry or non-tourist visas, the traditional sticker method is the only option. The good news is that under a revised fee schedule, the cost for Indian nationals is the same for both single and multiple-entry visas.
The Essential Document Checklist
Precision is key. A single missing or incorrect document is a common reason for rejection. Your file must include: a valid passport with at least six months of validity and two blank pages; a completed application form; and a recent passport-size photograph (typically 4.5cm x 4.5cm) with a white background. You will also need confirmed return flight bookings, proof of accommodation for every night of your stay, and a detailed day-by-day travel itinerary. The itinerary is mandatory and should clearly outline your plans.
Proving Your Financial Stability
This is often the most scrutinised part of the application. You need to provide bank statements for the last three to six months to show you can fund your trip. While there's no official minimum balance, a consistent and stable amount of around ₹1.5 to ₹2 lakh per person is often recommended. Large, last-minute cash deposits can raise red flags and should be avoided or clearly explained. Salaried employees should include their last three months of salary slips, while business owners should provide company registration documents. Submitting Income Tax Returns (ITR) for the last two or three years is also a standard requirement.
The Step-by-Step Application Process
First, identify the correct visa type and download the latest application form from the official VFS Global or Embassy of Japan website. After filling it out, gather all your documents, ensuring they are arranged as per the checklist. Most VFS centres require you to book an appointment online for document submission. During peak seasons, like for cherry blossoms, appointment slots can fill up weeks in advance, so it's wise to book early. On your appointment day, you will submit your file and pay the visa and service fees. You can then track your application's status online using the reference number provided.
Timelines, Fees, and Common Pitfalls
The embassy's official processing time is a minimum of five working days after submission at VFS. However, the realistic end-to-end process—from booking an appointment to getting your passport back—can take anywhere from two to four weeks, and even longer during peak travel seasons. The visa fee for Indian nationals is ₹500 for both single and multiple-entry visas, plus a VFS service charge. The most common reasons for rejection are incomplete forms, weak financial proof, an unclear itinerary, or inconsistencies across documents. Ensure every detail on your application matches your supporting paperwork to avoid delays or refusal.
