The rental agreement is more than a formality; it's a binding contract that outlines your responsibilities. In India, rental companies have specific terms that can vary significantly. Before you commit, verify the minimum rental tenure. Many companies have a lock-in
period of at least three to six months. If you decide to terminate the contract early, you might still be liable for the rent of the remaining lock-in period or face early termination charges. Also, confirm the process for extending your rental period. Some companies might apply different rates for extensions, so it's wise to clarify this upfront to avoid surprises. Pay close attention to the payment due date and penalties for late payments, which can be as high as 10% of the outstanding amount.
Decoding the Damage Policy
One of the most common areas for disputes is damage. Most rental agreements distinguish between normal wear and tear, which is acceptable, and actual damage, which is chargeable. However, the definition of "normal" can be subjective. To protect yourself, thoroughly inspect every item upon delivery. Document any existing scratches, dents, or defects with photos and videos, and report them to the company immediately. Many companies state that once an item is accepted, any subsequent damage claim becomes the customer's responsibility. Understand what the company considers minor versus major damage. While some offer a damage waiver that covers small issues, significant damage that affects an item's function could lead to you being charged the full replacement cost of the product. Your security deposit is the first thing that will be used to cover these costs.
The All-Important Return and Cleaning Rules
The end of the rental period is not as simple as just having the items picked up. Your agreement will specify the condition in which items must be returned. Some companies expect products to be professionally cleaned, while others are satisfied with a thorough self-clean. Not meeting these standards can result in deductions from your security deposit to cover cleaning fees. Be clear on the return logistics. You typically need to provide advance notice—often around 15 days—before your contract ends to schedule a pickup. Ensure you or a representative are present during the pickup to sign off on the condition of the items. The company will conduct a final quality check at their warehouse before processing your security deposit refund, which can take several working days.
Watch for Hidden Costs and Fees
The monthly rent is just one part of the total cost. Look for other potential charges in your agreement. While some companies offer free delivery and installation, others may charge for it, especially if your monthly rental value is below a certain threshold. Relocating to a new address, even within the same city, could also incur extra charges unless your plan specifically includes free relocation. Early closure or returning items before the agreed-upon tenure often comes with penalties. Finally, understand how your security deposit will be refunded. Companies typically refund it via bank transfer within a set number of working days after the final inspection, but this is after deducting any dues for damages, unpaid rent, or other fees.
