Start with Contact Information
The most crucial section is a clear list of contact details. This should go beyond just your mobile number. Include the name and address of where you'll be staying, an alternative contact number, and the contact information for a trusted local friend
or neighbour who can help in a pinch. If you're travelling, provide your flight numbers and hotel details. This creates multiple layers of communication, ensuring your sitter can reach you or a backup contact no matter what.
Detail the Daily Routine
Pets thrive on routine, and maintaining their schedule can minimise the stress of your absence. Write down a precise timeline for their day. Specify feeding times, exact portion sizes, and the brand of food they eat. Note the location of their food, treats, and bowls. Detail their walking and potty break schedule, including preferred routes or specific spots in the yard. Mention their typical energy levels, playtime habits, and when they usually settle down for naps or for the night. Consistency is comfort for an animal.
Outline Health and Medical Needs
This section must be crystal clear. List any medications or supplements your pet takes, including the exact dosage, time of administration, and whether it should be given with food. Note the location of all medicines. Clearly describe any allergies, pre-existing conditions, or physical limitations your pet may have. It's also helpful to include your pet's microchip information and the company it is registered with, just in case.
Create an Emergency Plan
No one wants to think about emergencies, but being prepared is essential. At the top of this section, list the name, address, and phone number of your primary veterinarian. Crucially, also include the contact information for the nearest 24-hour emergency animal hospital. Most importantly, you need to provide a signed veterinary release form. This document formally gives your pet sitter permission to seek and approve medical treatment in an emergency. You can specify a pre-approved spending limit or state that you will cover all costs. It's a good idea to call your vet's office beforehand to let them know a sitter will be caring for your pet and to ask if you can leave a credit card on file.
Explain House Rules and Pet Quirks
Every pet has a unique personality, and sharing these details can make the sitter's job much easier. Note your pet's favourite toys, treats, and hiding spots. Are they allowed on the furniture? Do they have any behavioural triggers, like a fear of the vacuum cleaner or thunderstorms? Are there any rooms that are off-limits? Also, include practical house information, such as the Wi-Fi password, instructions for the TV remote, trash and recycling collection days, and the location of cleaning supplies for any pet-related messes.
Final Walk-Through and Supplies
Before you leave, do a final walk-through with your sitter, either in person or via video call. Point out where everything is located, from the leash and poop bags to the pet carrier. Make sure you are fully stocked on all necessary supplies, including food, treats, medication, and litter, so your sitter doesn’t have to run errands. This final check ensures they feel confident and prepared, and it gives you one last chance to answer any questions, making for a smooth and stress-free departure.
