The secret to a great panel is the same secret behind a great movie: structure. Screenwriters use a “beat sheet,” a roadmap of emotional moments that build a compelling story. Your panel isn't just a Q&A; it’s a 60-minute narrative. Your job as moderator
or panelist is to take the audience on a journey with a clear beginning, a thrilling middle, and a satisfying end. By mapping out narrative beats, you can build momentum, create suspense, and deliver a truly memorable experience instead of just a series of disconnected answers.
Beat 1: The Opening Image
Every great movie starts with a hook. Your panel should too. This isn't the time for a dry, five-minute introduction of everyone’s complete filmography. Start with a bang. Pose a provocative, high-level question to the audience. Play a killer Sizzle Reel. Or have the moderator share a 30-second, high-energy anecdote that frames the entire conversation. Your goal is to immediately signal to the audience that this will not be a boring hour. Establish the tone and promise them they’re in for a good show.
Beat 2: The Setup and Theme
Now that you have their attention, you can do the necessary housekeeping. Briefly introduce your panelists, but frame it around the panel's central theme. Instead of just their credits, explain why they are the perfect person to discuss this topic. State the central question of the hour. Is it “Is the anti-hero dead?” or “What does the future of practical effects look like?” Stating the theme gives the audience a lens through which to view the entire conversation and provides a narrative spine for everything that follows.
Beat 3: The Catalyst Question
This is the inciting incident of your panel. It’s the first real question, and it needs to be a good one. It shouldn’t be a softball. It should be a question that invites a little debate or a surprising personal story. Frame a question that pits two common philosophies against each other or asks a panelist to take a stand on a popular fan theory. The catalyst should be designed to get the conversation moving and force the panelists to engage with each other, not just with the moderator.
Beat 4: The Rising Action
This is the meat of your panel—the “fun and games” section. Here, you build on the catalyst with a series of follow-up questions and prompts. Encourage panelists to share behind-the-scenes stories, geek out about their influences, and even disagree with one another respectfully. A great moderator will have a list of prepared questions but will also be listening intently, ready to pivot based on an interesting answer. The key here is creating a lively, conversational drumbeat rather than a sterile, ping-pong Q&A.
Beat 5: The Midpoint Shift
About halfway through, you need to shift the energy. This is a perfect time to turn things over to the audience. Announcing the Q&A segment acts as a narrative turning point, injecting fresh energy and unpredictdictability into the room. It raises the stakes for the panelists and gives the audience a chance to become part of the story. If the audience Q&A is saved for the last five minutes, it often feels like an afterthought. After the audience Q&A, it's time to bring the focus back to the stage for the grand finale. This is where you land your biggest emotional and intellectual punches. The moderator should pose one final, powerful question to each panelist. Think of it as their 'final battle' moment. Good options include: “What is the one single piece of advice you’d give to someone starting out?” or “What is the lasting legacy of the project we’ve been discussing?” This beat is designed to deliver the ultimate payoff for the audience.
Beat 7: The Final Image
How you end is just as important as how you begin. Don't let the panel just fizzle out with a weak “Well, I guess that’s our time.” End with a bang. The moderator should provide a crisp, 30-second summary of the key themes discussed, creating a sense of closure. Then, a sincere thank you to the panelists and the audience. Finally, deliver a clear call to action: where to follow the panelists online, what booth to visit, or what project to look out for. Send the audience away buzzing, not drifting.
