The 10-Hour Burden is Real
Behind every seamless group holiday is often one person who has spent countless hours making it happen. A recent survey by travel platform Klook quantified this effort, finding that over six in ten Indian trip planners spend more than 10 hours organising
a vacation. Nearly 40% spend up to 20 hours, and some even dedicate a full work week of 40 hours. This unpaid labour involves everything from aligning schedules and managing budgets to researching destinations and booking tickets. The study highlighted that travel planning was ranked as the number one least-thanked task among 10 everyday favours in India, showing a major disconnect between the effort involved and the appreciation received.
Why Indian Group Trips are Complex
The high planning time isn't just about booking flights. In India, group travel often involves a unique set of social dynamics. Trips frequently include extended family with a wide range of ages, from grandparents to toddlers, each with different needs. Accommodating diverse budgets, dietary restrictions (especially vegetarian preferences), and finding activities that appeal to everyone is a significant challenge. The process is often one of consensus-building, which can lead to decision paralysis. A study found that for 75% of Indian planners, a key skill is not just logistics but acting as a diplomat to minimise disagreements. The main sources of stress are coordinating schedules, followed by managing the budget.
The Solution: A C-Suite for Your Crew
Instead of one person shouldering the entire burden, the most effective solution is to divide the labour. Appointing clear roles turns a stressful solo job into a collaborative team effort. This doesn't have to be formal or corporate; think of it as giving each friend a domain to own. It ensures that tasks are handled by those best suited for them and gives everyone a stake in the trip's success. The result is less pressure on one person and a more enjoyable planning process that builds excitement for the trip itself.
The 'CEO' - Chief Experience Officer
This person is the visionary. They might be the one who first suggested the trip or has the clearest idea of the desired vibe—be it a relaxing beach holiday in Goa, a trekking adventure in Himachal, or a cultural tour of Rajasthan. Their job isn't to do all the work, but to set the overall direction and act as the final tie-breaker if the group is stuck. They keep the energy positive and make sure the final plan aligns with the original goal of the trip.
The 'CFO' - Chief Financial Officer
This is arguably one of the most crucial roles. The CFO is responsible for all things money. They poll the group to set a realistic budget, get cost estimates for transport and accommodation, and track all expenses. Using apps like Splitwise or Google Sheets, they create transparency around who has paid and what is owed. Most importantly, the CFO is in charge of collecting money before major bookings are made, avoiding the awkwardness of chasing people for payments later.
The 'COO' - Chief Operations Officer
The COO is the master of logistics. This person thrives on research and finding the best deals. They handle the core bookings: flights, trains, buses, and accommodation. After the group agrees on the budget and location, the COO dives into travel portals and booking sites to secure the reservations. They are detail-oriented, making sure booking confirmations are correct and that all travel documents are in order. This role is perfect for the friend who loves a good spreadsheet and the thrill of a well-planned itinerary.
The 'CMO' - Chief Memory Officer
The CMO is the director of fun. While the COO handles how you get there, the CMO plans what you do. They research the best local restaurants, hidden cafes, exciting activities, and must-see sights. They might create a shared playlist for the road trip, find the best spots for group photos, and handle reservations for dinners or shows. This role is about curating the experience and ensuring that the trip is not just well-organised, but also genuinely memorable and fun.
